How to use standard or client-specific rate cards for hourly billing clients.
Create or choose a rate card
Rate cards define the pricing schedule. How much clients pay for a set number of hours.
Overview
Most clients use a standard rate card (for example, the current yearly card).
Create a custom rate card only when a client has negotiated different pricing.
Steps
- Open the Rate Cards page
- Go to Client Rate Cards.
- Choose one of two paths
- Use an existing rate card – recommended in most cases.
- Create New Rate Card – for bespoke arrangements.
- To create a new card
- Go to Client Accounts > Employee Rate Cards and click Create Rate Card enter:
- Name: e.g.
2025 Custom 50 Hours. - Start Date: when this pricing becomes valid.
- Hourly Rate: e.g. 50 hours = £100 000.
- Currency: the currency you would like the client invoice to be issued in.
- Name: e.g.
- Go to Client Accounts > Employee Rate Cards and click Create Rate Card enter:
- Save
- The new rate card appears in the list and can be linked through the rate schedules.
Best practices
- Avoid creating duplicate cards for standard pricing — reuse existing ones.
- When prices change annually, create the next year’s card once and reuse it across clients.
- Custom cards should clearly include the client name or context in the title for traceability.
