How to calculate and send automated weekly client status summaries without attachments.

Weekly Status Updates (Summary-Only Email)

Weekly status updates provide clients with a short summary of time allocation and utilisation for the past week.
These reports are sent as email text only — no attached files.

Overview

Each update shows:

  • Total hours used for the week
  • Breakdown by account or project
  • Utilisation percentage for the period

They keep clients informed without waiting for full month-end reports.

Steps

  1. Open the Time Allocation Reports page
    Go to Client Invoicing → Reports → Time Allocation Reports.

  2. Select a date range

    • Example: 1 September – 7 September.
    • The system displays client utilisation for that period.
  3. Calculate the report

    • Choose the relevant client.
    • Click Calculate Report.
    • Wait until the status changes to Created.
  4. Email the summary

    • With the report highlighted, select Email Status UpdateApply.
    • The system emails the summary in the body text to the client contact(s).
    • No attachments are included.

Notes

  • Status updates are date-based — select the exact week you wish to send.
  • Each update is logged internally for audit.
  • These summaries complement full monthly reports but do not replace them.
