How to correct an invoice that has already been issued to a client.
Adjust an Issued Invoice or Create a Credit Note
Once an invoice has been sent, it generally cannot be deleted.
If an error is discovered, issue a credit note instead.
Two scenarios
1. Invoice not yet logged by the client
If the client has not recorded the invoice in their system, you may:
- Delete it directly from the invoicing page.
- Recalculate and re-issue a corrected version.
2. Invoice already received or logged
Create a credit note to reverse the original value.
For project accounts
- Create a new project sub-account named “Credit Note”.
- Add a project entry with a negative amount equal to the correction.
- Date it as completed in the month of adjustment.
- Generate invoices as normal — the credit note will appear as a separate line item.
For hourly biling accounts
- Create a new hourly billing sub-account (or temporary “Credit Note” log).
- Add a negative-value hourly billing entry with zero hours.
- Run the next invoice cycle — the amount offsets the original charge.
- Mark the temporary account inactive afterward.
Notes
- Never delete invoices already sent to clients.
- Always document the credit note reason internally.
- Keep the credit note dated within the same month for reporting consistency.
