Export Zero-Hours Employee Time for Payment
Zero-hours and contractor payments are based on recorded time entries in the portal.
Each month, the operations team exports these hours and shares them with finance for processing.
Overview
This task ensures that all casual or contractor staff are paid for their logged hours — whether billable or written-off.
- Exported from the Time Tracking → Team view
- Covers the same date range as the current invoicing cycle
- Includes all hours, even if not billed to clients
Steps

Open the Team Time View
- Go to Time Tracking → Team.
- Select the relevant date range (for example, 1 – 30 September).

Select the individual
- Choose each zero-hours team member in turn.

Review their time
- Confirm hours look accurate and consistent with internal records.
- Written-off time is still payable — it represents real work done.

Export the data
- Use Export → Excel or take a clear screenshot of the summary.
- Include total hours and account breakdowns.

Send to finance
- Email the exported file(s) to the finance team for payment processing.
- Include any relevant notes or adjustments confirmed by managers.
Notes
- Written-off hours remain payable; they are excluded from client invoices but not from pay.
- Include internal (non-client) work — all time logged must be compensated.
- Keep copies of the export for audit reference.
