Configure cut off dates to prevent changes to time tracking and invoicing data.

Cut Off Date Settings

Prevent changes to historical data after specific dates to maintain data integrity.

Navigate to System > Settings > Cut Off Dates to access these settings.

Time Tracking Cut Off Date

Prevents employees from adding or editing time records before (and including) this date.

Use Cases

  • Lock time entries after monthly reviews are complete
  • Prevent backdated time entries after payroll processing

Setting the Date

  1. Select a date using the date picker
  2. Click Save Changes

Note: Any time entry dated on or before this date will be locked for regular employees.

Invoicing Cut Off Date

Prevents all users from adding or editing time records before (and including) this date.

Setting the Date

  1. Select a date using the date picker
  2. Click Save Changes

Warning: This is a hard lock. Even administrators cannot modify time records before this date through the normal interface.

Best Practices

Monthly Workflow

  1. Complete all time entry reviews
  2. Generate and send invoices
  3. Set Time Tracking Cut Off Date to end of billing period
  4. After client confirmation, set Invoicing Cut Off Date

The Invoicing Cut Off Date should typically be earlier than or equal to the Time Tracking Cut Off Date:

Invoicing Cut Off ≤ Time Tracking Cut Off ≤ Today

Rolling Cut Offs

Consider updating cut off dates monthly:

  • After the 5th: Lock previous month for invoicing
  • After the 10th: Lock previous month for time tracking

Resetting Changes

Click Reset to discard unsaved changes and restore the previous cut off dates.
