How do I move time entries from one project/rate shedule to another?

Move time entries between projects while preserving profitability calculations and invoice integrity.

How Do I Move Time Entries from One Project to Another?

Sometimes time entries are recorded against the wrong project and need to be moved to the correct account.

For project accounts

  1. Submit a request to your manager.
  2. Ops will update the invoice cut-off date to before the date of the entries that need to be changed.
  3. An Executive (e.g., Rowena) can then either:
    • Option 1: Update each time entry date individually, or
    • Option 2: Create summary time entries as accounting entries:
      • Add a negative amount entry on the original project
      • Add a positive amount entry on the destination project
      • Repeat for each affected employee

Important: This must be done per employee to preserve profitability calculations.

For rate schedule accounts

Time entries cannot be moved on rate schedule accounts once they have been invoiced. This is because the time allocation report has already been sent to the client, and moving entries would cause a mismatch between internal records and the client's copy.

Notes

  • Always verify the invoice cut-off date has been adjusted before making changes.
  • Moving time entries affects profitability reporting, so ensure each employee's entries are handled separately.
  • For rate schedule accounts, consider making adjustments in the next billing period instead.
